Terms of Service

These terms explain the agreement between you and us when you use Roadmap Flow. We have tried to write them plainly. Where they say "you", they mean the person using Roadmap Flow, or the company that person acts for when they use it for work.

1. Who we are

Roadmap Flow is provided by Belfavn, a sole proprietorship registered in the Belgian Crossroads Bank for Enterprises (BCE/KBO) under enterprise number 1035.683.549 (VAT number BE 1035.683.549), with its registered address at Rue de Bretagne 25, box 4, 1200 Woluwe-Saint-Lambert, Belgium ("Belfavn", "we", "us"). 2. Agreeing to these terms

  • By downloading, installing or using the Roadmap Flow desktop app, the browser extension Roadmap Flow Check, or roadmap-flow.com (together, "Roadmap Flow"), you agree to these terms.
  • If you use Roadmap Flow for a company or other organisation — for example as a member of a Team plan — you confirm that you may agree to these terms on its behalf, and "you" includes that organisation.
  • Our Privacy Policy, Refund Policy and Cookie Policy form part of these terms.

3. Consumers and business customers

Some of these terms apply differently depending on who you are. A consumer is someone using Roadmap Flow mainly outside their trade, business or profession. A business customer is anyone else, including a company buying a Team plan. If you are a consumer, nothing in these terms takes away the rights that consumer law in your country gives you and that cannot be excluded by agreement.

4. Your licence to use Roadmap Flow

  • We give you a personal, non-exclusive, non-transferable right to install and use Roadmap Flow on devices you control, within the features of your plan, for as long as you follow these terms.
  • Roadmap Flow, its design and its code belong to us and our licensors. You may not sell, rent or sublicense it, or remove our notices. You may not copy, decompile or reverse-engineer it except to the extent the law expressly allows despite this restriction.
  • Some parts of Roadmap Flow use open-source components, which remain under their own licences.

5. Your roadmaps and your data

  • Your roadmaps are yours. Roadmap Flow saves them in a folder you choose — on your computer, or in a OneDrive, SharePoint or other shared folder. We do not receive, store or have access to their contents, and we claim no rights in them.
  • Because your roadmaps stay with you, keeping them safe is in your hands: making backups, and controlling who can open a shared folder. Roadmap Flow keeps three rolling backups next to each roadmap, but we cannot recover a roadmap that has been lost or deleted from your own storage.
  • We process a limited amount of account information — for example your email address, name, company role, seats and, for an invitation that carries one, the name and SharePoint address of a shared folder. How we handle it is described in our Privacy Policy.

6. Accounts, companies and invitations

  • Signing in is optional. If you sign in, you are responsible for keeping access to your account secure and for activity under it.
  • On a Team plan, the company's owner and administrators decide who joins, which roles and seats people have, and when they are removed. They act for the company.
  • An invitation link lets the person who uses it join the company. Send it only to the person it is meant for and treat it like a password; an administrator can withdraw it at any time.

7. Plans, prices and payment

  • Roadmap Flow can be used for free. Paid plans (Pro and Team) add features described on our pricing page.
  • Paid subscriptions are sold and billed by Belfavn through our payment provider, Stripe — not through the Microsoft Store. Microsoft Store payments, gift cards and account balance do not apply to them.
  • Prices are shown on the pricing page and at checkout. Belfavn applies the Belgian VAT exemption for small businesses (article 56bis of the Belgian VAT Code), so no Belgian VAT is added to our prices. If VAT does apply to your purchase, it is shown at checkout before you pay.
  • A subscription renews automatically at the end of each monthly or annual period until it is cancelled. You can cancel at any time in the app under Account → Subscription → Manage billing; cancellation stops the next renewal, and you keep paid features until the end of the period you have paid for.
  • Team plans are charged per seat. Seat changes are billed pro rata by Stripe.
  • If we change the price of your plan, we will tell you before the change applies to you, and it will apply only from your next renewal. If you do not want to continue at the new price, you can cancel before that renewal.
  • If a payment fails, Stripe will retry it. If it still cannot be collected, your plan's paid features may stop until payment is made; your roadmaps are not affected.

8. Your right to cancel within 14 days (EU and EEA consumers)

If you are a consumer in the European Union or European Economic Area, you may withdraw from a new paid subscription within 14 days of your first payment, without giving a reason, and receive a full refund. To do so, email support@roadmap-flow.com within those 14 days with your billing email and order reference. The details, and how refunds are paid, are in our Refund Policy.

9. Using Roadmap Flow fairly

You agree not to:

  • use Roadmap Flow to break the law or anyone else's rights;
  • try to gain access to accounts, companies or data that are not yours, or share an invitation link with someone it was not meant for;
  • disrupt, overload or attack our websites or online services, or get around plan limits or licence checks;
  • send anything unlawful or harmful through the feedback form.

If you do, we may suspend your access to the online parts of Roadmap Flow (see section 13).

10. Feedback

If you send us ideas or suggestions, we may use them to improve Roadmap Flow without owing you anything for them. We will not publish your name or roadmap details without your permission.

11. Other companies' services

Roadmap Flow works with services run by other companies — for example the Microsoft Store, Stripe, Microsoft and Google sign-in, OneDrive and SharePoint, and the tools your roadmap items link to. Their own terms apply when you use them, and we are not responsible for how they work or are available.

12. Changes, updates and availability

  • We improve Roadmap Flow over time. Updates may add, change or remove features. We will not remove a feature that is central to a paid plan during a period you have already paid for without giving you a fair alternative or a pro-rata refund.
  • The desktop app works without a connection. Online parts — sign-in, billing, the company console and update checks — may sometimes be unavailable, for example for maintenance; we work to keep interruptions short.

13. Ending the agreement

  • You can stop using Roadmap Flow at any time, and cancel a subscription as described in section 7.
  • We may suspend or end your access to our online services if you seriously or repeatedly break these terms, or if the law requires it. Where it is reasonable, we will warn you first and give you the chance to put things right.
  • When the agreement ends, your roadmaps stay where they are, in your own storage. We delete or anonymise your account information as described in our Privacy Policy.

14. Our responsibility for the product

  • If you are a consumer, you have the legal rights that apply to digital content and services, including the right to have a product that does not work as described put right. These terms do not limit those rights.
  • If you are a business customer, Roadmap Flow is provided "as is" and "as available", and we exclude, as far as the law allows, any warranties not set out in these terms.
  • For everyone: Roadmap Flow's health checks, scores and suggestions help you communicate a roadmap. They are not complete or error-free, and they are not legal, financial, compliance or project-management advice.

15. Limitation of liability

  • What we never limit. Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, for damage we cause intentionally or through gross negligence, or for anything else that cannot be limited or excluded by law.
  • Consumers. We are responsible for loss or damage you suffer that is a foreseeable result of our breaking these terms or failing to use reasonable care. We are not responsible for loss or damage that was not foreseeable, or for loss caused by events outside our reasonable control.
  • Business customers. Subject to the first point, we are not liable for loss of profit, revenue, business, goodwill or anticipated savings, or for any indirect or consequential loss. Our total liability arising out of or in connection with Roadmap Flow in any 12-month period is limited to the amount you paid us for Roadmap Flow in the 12 months before the event giving rise to the claim, or EUR 100 if that is higher.
  • Your roadmap files. Because your roadmaps are stored in your own storage and not by us, keeping backups is your responsibility (section 5). Subject to the first point, we are not liable for the loss of roadmap files that a reasonable backup would have prevented.

16. Events outside our control

We are not responsible for delays or failures caused by events outside our reasonable control, such as outages of the internet, of payment or cloud providers, or of the Microsoft Store. If such an event affects a paid feature for a long time, you may cancel and we will refund the unused part of your current period.

17. Changes to these terms

We may update these terms, for example when the product or the law changes. We will tell you about material changes at least 30 days before they apply, on this page and, where we have your email address, by email. If you do not agree with a change, you can cancel before it applies. The "last updated" date shows the current version.

18. Law and disputes

  • These terms are governed by Belgian law.
  • If you are a consumer, you also keep the protection of the mandatory consumer laws of the country where you live, and you may bring a claim in the courts of that country.
  • If you are a business customer, the courts of Brussels, Belgium, have exclusive jurisdiction.
  • If you have a complaint, please contact us first at support@roadmap-flow.com so we can try to put it right.

19. General

  • If any part of these terms is found invalid, the rest stays in force.
  • If we do not enforce a right straight away, we can still enforce it later.
  • We may transfer this agreement to another company if Roadmap Flow is transferred to it, provided your rights under these terms are not reduced. You may transfer it only with our written agreement.
  • These terms, together with the policies listed in section 2, are the whole agreement between you and us about Roadmap Flow. A business customer may agree separate written terms with us, which then take priority where they differ.
